Define the bizhub Device Requirement

Before approving that direction, document:

- user and device identity source;
- sites and networks involved;
- applications that require special drivers;
- guest printing;
- offline or network-failure requirements;
- administrator access;

- migration work;
- fallback; and
- exit from the service.
Cloud print should replace a defined piece of infrastructure or administration. It should not be added while the existing route remains unmanaged and unchanged.
Assess Badge Release as an Identity Project
Konica Minolta publishes support for Microsoft Universal Print with badge release in suitable environments.
Ask:
- Which badge technology is supported?
- Is the existing staff badge compatible?
- Which identity platform is used?
- Who maps badges to users?
- What happens to lost or replacement badges?
- How are leavers removed?

- What happens when the cloud service is unavailable?

- Which licence and subscription are quoted?
A badge reader on the proposal does not complete the identity and administration process.
Decide Whether Mobile and Guest Printing Are Required
Konica Minolta publishes mobile-printing and guest-print options within its wider service portfolio.
Define:
- who needs mobile access;
- whether devices are corporate or personal;
- whether users are employees, visitors or contractors;
- accepted file types;
- release method;
- retention period;
- support owner;
- network route; and
- removal of access.
Do not create a guest-print route that conflicts with the organisation’s normal access rules.
Check Who Configures the Panel and Workflows
The bizhub i-Series interface can be configured around user tasks. Ask who will:
- arrange shortcuts;
- build scan destinations;
- create one-touch workflows;
- control panel access;
- train users;
- document the layout;
- update it after a business change;
- restore it after device replacement; and
- remove unused destinations.
The business should receive administrator access and an agreed configuration record where appropriate.
Identify Service Dependencies
For every promised function, mark its dependency:

- scan workflows are simple; or
- the proposed service duplicates another platform.
A device-only proposal still needs proper setup and support. It simply avoids introducing a service that does not solve a defined requirement.

Ask the supplier to provide:
- full model and accessory schedule;
- configuration record;
- cloud-service and licence schedule;
- badge-reader specification;
- identity and network prerequisites;
- migration plan;
- administrator handover;
- user and guest-print process;
- failure and fallback test;
- service scope;
- subscription exit process; and
- data/settings removal process.
