Distinguish ECOSYS and TASKalfa by Workload
Kyocera’s current UK portfolio includes ECOSYS and TASKalfa devices across different office roles.
ECOSYS route
ECOSYS includes compact and workgroup printers and multifunction devices. Some current ranges are designed for A4 use, while Kyocera also lists selected A3-capable ECOSYS MFPs.
Check:
- print-only or multifunction;
- A4 or A3;
- mono or colour;
- local or shared placement;
- paper capacity;
- scan demand;
- user count;
- expected volume; and
- supported software.
TASKalfa route
TASKalfa includes larger multifunction and production-oriented categories. A TASKalfa proposal should be justified by shared workload, A3, scanning, finishing, volume or workflow requirements.
Do not assume that TASKalfa is automatically required for every shared office or that ECOSYS always means a small desktop device.
Ask Which Components Are Designed for Longer Life
Kyocera’s ECOSYS product information emphasises long-life internal components. Turn that broad principle into model-specific questions.
Ask the supplier to identify:
- the relevant long-life components;
- expected replacement basis;
- which parts remain covered by service;
- which parts are separately chargeable;
- required maintenance intervals;
- toner and waste handling;
- the effect of non-standard media or heavy use;
- warranty and service exclusions; and
- how replacement appears on an invoice.
Do not convert a component-design claim into a guarantee of lower total cost. The actual outcome also depends on toner, page charges, support, minimum billing and the selected device.

- drums or imaging components;
- maintenance items;

Check HyPAS Availability Rather Than Assuming It
Kyocera uses HyPAS on selected devices to support applications and workflow customisation. It is not present on every model.
For the proposed device, ask:
- Is HyPAS supported?
- Which application is required?
- Is the app supplied by Kyocera, the dealer or another provider?
- Is it installed, licensed or subscription-based?
- Which data destination does it use?
- Who configures and updates it?
- What happens when the device is replaced?
- Is a non-HyPAS route available?
If the business does not need an application workflow, HyPAS support should not decide the hardware choice.
Assess Kyocera Cloud Print and Scan as a Separate Service
Kyocera Cloud Print and Scan can provide cloud-managed printing, user authentication, Print&Follow, quotas and cloud-storage connections in compatible environments.
Before including it, define:
- sites and devices;
- identity platform;
- user groups;
- secure-release method;
- print quotas;
- scan destinations;
- cloud-storage accounts;
- reporting;
- subscription owner;
- service support;
- outage process; and
- exit route.
The service may suit a distributed environment, but it should not duplicate an existing cloud-print or follow-me platform.
Examine Environmental Claims Precisely
Avoid broad statements that a brand or device is automatically sustainable.
Request measurable information for the proposed model, such as:
- component and consumable design;
- energy settings;
- available environmental declarations;
- toner-return route;
- packaging or recycling arrangements;
- device-recovery route;
- expected consolidation of existing equipment; and
- configuration intended to reduce unnecessary output.
Record which claims come from the manufacturer and which outcomes depend on how the business operates the device.
When a Simpler Kyocera Setup May Be Better
A workflow platform or larger TASKalfa system may be unnecessary where:
- one small workgroup needs straightforward A4 output;
- scan destinations are limited;
- there is no shared release requirement;
- existing software already manages printing;
- A3 and finishing are not used; or
- the business does not have resources to administer another service.
Conversely, a compact device may be inappropriate where high scan demand, several paper sources or shared A3 workflows are central.
