Xerox Printer and Photocopier Quotes

Explore Xerox ConnectKey workplace assistants, app-based workflows and quote questions.

A Xerox proposal should explain whether the requirement is primarily for an office device, a higher-capacity departmental system or a ConnectKey application workflow. Current Xerox UK pages place many app-enabled office devices within the VersaLink and AltaLink families, but the useful configuration depends on users, document volume and the apps or cloud services actually required.

The app catalogue is not a reason to add applications by default. Each app should solve an identified task and have a named owner.

Choose the Device Family Before Choosing Apps

Start with the physical workload.

Record:

Then ask why the supplier has proposed a particular Xerox family.

VersaLink proposal

Xerox’s current UK pages include VersaLink printers and multifunction devices across office and workgroup roles. Check the specific model’s paper size, user guidance, monthly-volume guidance and app compatibility.

AltaLink proposal

AltaLink devices appear within Xerox’s larger A3 and higher-volume office categories. Check whether the additional capacity and configuration are justified by the workplace rather than by a preference for the larger platform.

A family name is not a substitute for the full model and accessory schedule.

Treat the Xerox App Gallery as a Managed Catalogue

ConnectKey-compatible apps can add cloud connections or workflow tools. The supplier should not install an uncontrolled collection.

For each proposed app, document:

AppBusiness taskUsersData destinationLicence ownerSupport ownerRemoval process

Ask:

An app should remain only while its business purpose is current.

Check Cloud Connectors at Account Level

Xerox publishes cloud-document options for compatible ConnectKey environments. Availability can differ between device families and may involve pre-installed or downloadable apps.

For each cloud service, verify:

Test with a real destination and the intended user permissions.

Decide Whether Interface Consistency Matters

Xerox describes a consistent interface across ConnectKey-enabled VersaLink and AltaLink families. This can matter where staff move between several devices.

Before assigning value to that consistency, check:

A consistent interface can reduce variation, but only if the fleet is configured consistently.

Define Application Governance

Assign responsibility for:

Where a dealer manages the apps, the service agreement should state the scope. Where internal IT manages them, access and documentation must be handed over.

Avoid Building a Workflow Around a Demonstration App

A showroom demonstration may use a sample account and a clean document.

Acceptance should include:

  1. the organisation’s account;
  2. the intended user role;
  3. a representative document;
  4. the expected file format;
  5. the real destination;
  6. a failed or interrupted job;
  7. app sign-out;
  8. another user attempting access;
  9. a device restart; and
  10. confirmation that the workflow remains available after handover.

Record the result for every app that forms part of the business process.

When a ConnectKey App Approach May Be Unnecessary

A simpler configuration may be better where:

The strongest proposal may be the one with fewer, better-defined apps.

Questions That Expose an Incomplete Xerox Quote

  1. What task does each proposed app remove or simplify?
  2. Which apps are included in the quoted price?
  3. Which apps require separate accounts or subscriptions?
  4. Why is VersaLink or AltaLink the appropriate family?
  5. Which interface and app differences exist between proposed devices?
  6. Who approves and tests app updates?
  7. What happens if an app or connector is discontinued?
  8. Who owns the cloud credentials?
  9. How are apps and accounts removed at return?
  10. What is the fallback when the app is unavailable?

Govern the Workflow, Not Only the Device

A Xerox configuration can combine hardware, ConnectKey apps and external cloud services. The proposal should define all three layers, who owns them and how the workflow continues when one layer changes.

That creates a more useful comparison than selecting an app-enabled device without an application-management plan.
