
A Sharp proposal is most useful when it connects a specific BP-series device to a real Microsoft 365, mobile-printing or A3 document requirement. Product pages for selected models describe Microsoft Teams access and Synappx Go, but connector availability and required options can differ by model.
The buyer should therefore test the proposed workflow and record every hardware, software and licence dependency.
Decide Whether Microsoft Teams Printing Solves a Real Task
A Teams connector matters only when staff have a defined reason to print from, or scan directly into, Teams channels.
Document:
- which Teams channel or team is involved;
- who is allowed to access it;
- whether staff need to print, scan or both;
- how files should be named;
- whether a channel folder is the final record location;
- what happens when permissions change;
- who supports sign-in at the device; and
- whether the task could be handled more simply from a workstation.
Avoid adding a connector because the organisation uses Teams generally. Link it to a repeatable document process.
Confirm the Connector Requirement for the Exact Model
Sharp’s own product pages show why model-level checking matters. A selected BP model may describe the Teams connector as built in while also identifying an additional option or module requirement.
Ask the supplier to state in writing:
- exact model code;
- required connector or application;
- required option code;
- included licence or subscription;
- authentication method;
- supported Microsoft 365 environment;
- configuration responsibility;
- ongoing support responsibility; and
- effect of a future Microsoft or Sharp platform change.
Do not accept “Teams ready” as the complete specification.
Assess Synappx Go as a Separate User Journey
Synappx Go is presented by Sharp as a mobile and contactless workflow tool for selected systems. Test whether it fits the people who will use it.
Check:
- which mobile operating systems are supported;
- how users enrol;
- whether a personal or managed phone is required;
- how the app identifies the device;
- whether guest users are supported;
- whether remote release is permitted;
- what happens when the phone or network is unavailable;
- how access is removed; and
- who supports the application.
A contactless process can be convenient, but it should not create an unmanaged route around the organisation’s normal access controls.
Use A3 and Finishing Requirements to Select the BP Configuration
Sharp offers different BP-series configurations, including A3 mono and colour devices. The proposal should explain why its paper path matches the workplace.
Provide samples of:
- regular A3 originals;
- mixed A4/A3 sets;
- colour documents;
- heavy or specialist media;
- stapled packs;
- booklets or folded output; and
- unusually large jobs.
For each item, record:
- frequency;
- required turnaround;
- paper source;
- finishing requirement;
- acceptable fallback; and
- whether the task must remain in-house.
Ask for a demonstration on the proposed configuration, including the quoted trays and finishing units.
Check the Difference Between a Device Feature and a Workflow Service
A Sharp MFP may provide the hardware interface for a workflow while another component provides:
- Microsoft identity;
- cloud storage;
- mobile-device management;
- print management;
- secure release;
- malware protection;
- remote monitoring; or
- managed support.
List the owner of every component.

Plan for Changes to Microsoft 365
The proposal should explain who handles:
- a renamed Team or channel;
- user-role changes;
- multifactor-authentication changes;
- conditional-access policies;
- expired credentials;
- a mobile-device replacement;
- a connector update;
- a device replacement; and
- a move to a different document platform.
The installation is not complete if the workflow works only with the installer’s account.
When the Added Workflow Layer May Not Be Justified
A simpler Sharp configuration may be preferable where:
- Teams printing is rare;
- scanning to a controlled folder is sufficient;
- personal mobile devices are not permitted;
- the organisation does not want app-based device access;
- an existing print-management platform already provides the required controls; or
- A3 and finishing features are not used.
The supplier should show which requested problem each option solves.

Ask for:
- exact BP model and speed;
- mono or colour specification;
- paper and finishing configuration;
- connector and option codes;
- licence and renewal schedule;
- supported Microsoft and mobile environments;
- implementation statement;
- administrator guide;
- acceptance tests;
- service and escalation route; and
- a written list of excluded work.

Sharp-Specific Acceptance Tests
Before sign-off, test:
- print from the normal workstation route;
- print from the intended Teams location;
- scan into the correct Teams channel or approved destination;
- user sign-in and sign-out;
- Synappx Go enrolment and removal where included;
- A3 output from the intended application;
- required finishing;
- a failed sign-in;
- loss of mobile or cloud connectivity; and
- the authorised fallback process.
Record whether each result depends on a licence, optional module or external service.
